Task Automation: Cohort Targeting & Pre-event Scheduling

The Task Automation rule builder now lets you target rules at exactly the right cohort and schedule tasks relative to an anchored event, with control over what happens when that event moves or is cancelled.




New targeting conditions

Four new conditional variables in the rule builder, each a multi-select with Include / Exclude:

• Clinician Assigned — match the assigned clinician on the trigger event
• Staff Role — match the assigned clinician's role, including custom roles that inherit from a base role
• Client Tag (renamed, now multi-select) — match tags on the client profile
• Referral or Package Funder — split into two variables, since the package (the session-allowance / billing structure) and the funder (who pays) are often correlated but not identical

Conditions combine with AND across variables and OR within a variable.




Scheduling before an event

• Set a Task Template's Conditional Due Date to a negative number of days to schedule the task that many days before the anchored appointment
• A per-template choice controls what happens if the anchored appointment is cancelled or marked as a no-show: keep the task, or cancel it
• Reschedules follow the appointment automatically. If the new date is in the past or within 24 hours, the task fires immediately and the move is recorded in the task history




What you'll notice

Superusers and Admins get new controls on the rule builder — a Before / After direction toggle, a cancellation-policy option on task templates, the four new condition types, and Include / Exclude multi-selects. Practitioners may now see tasks dated before an upcoming appointment, with the task history showing (and linking to) the appointment it's anchored to.
