Client Case Note Folders

Every client file can now hold folders you name yourself, such as Intake Documents or Supervision, alongside Shared and Private. Each folder controls who can read the notes inside it and who can add to it, so filing a note somewhere narrower than Shared no longer means making it private to yourself.
How It Works
• A folder bar sits above the notes list on the Notes tab, with a count of notes in each folder.
• Click the + at the end of the bar to create a folder. Superusers choose who it is for: everyone with access to the client file, specific roles, or specific practitioners.
• Folders you do not have access to are hidden from you entirely.
• Move a note to another folder from its menu with Move to folder. You see the resulting access before you confirm, and a note can never be moved somewhere its author cannot follow.
• Every move is recorded with who moved it, when and where from, and appears on the client's activity timeline.
For Superusers
• Change who can access a folder with Edit access. If the change removes access from anyone, they are listed by name before you confirm.
• Superusers can manage every folder on a file (rename, change access, delete) without being able to read notes they do not have access to.
• Folders can only be deleted once they are empty. Deleting a folder never deletes a note.
Good to Know
Nothing moved when this was released. Every existing note keeps the visibility it already had. If your practice has private case notes switched off, your notes list is unchanged.
