Referral Expiry Management

Release date:

A complete system for managing referral expiry — from configurable rules through to status badges, profile banners, booking controls and email alerts — so referrals never quietly lapse.




Expiry rules engine

Superusers configure rules under Settings → Referral Expiry Rules:

• Two modes — Uniform (one rule for all referrals) or Granular (one rule per funder + package pair)
• Validity period — number plus unit (days / weeks / months), e.g. "12 months"
• Clock anchor — countdown starts from date of issue, date received, or date of first appointment
• Alert timing — days before expiry that warnings begin, set separately for team and client
• Recipients — practitioners, admins, or both; clients optional
• Booking prevention level — warn or block
• Apply to existing referrals — bulk-apply on save with a count and apply / skip / review




At-a-glance status

Every referral record shows a status badge: green (valid, more than 30 days left), amber (expiring within 30 days), red (expired), or grey (not calculable — no rule, or a missing anchor date).




Profile alert banners

On the client profile, in three states: Expiring (shows date and days remaining), Expired (a new referral is needed), and Missing (the client is receiving services that need a referral, but none is on file). Clinicians can dismiss a banner once actioned; it reappears if the situation changes.




Booking prevention & alerts

• When booking past a referral's expiry: Warn shows an inline alert but lets the booking proceed; Block stops it with a modal until resolved
• Daily email alerts for approaching and expired referrals — team alerts to admins and/or practitioners, and optional client alerts
• Alerts send once rather than nagging daily, and re-send only if something meaningfully changes




Who sees what

Superusers get full rule setup and apply-to-matching; Admins get read-only rules plus team alerts, badges and banners; Practitioners see badges, banners and booking warnings; Clients receive email alerts only, if enabled on the rule.
